About the role

The Board Administrator is a high-level administrative and organizational role within the Governance and Executive Support team. Based in either the US or the UK, you will be the backbone of our board operations, ensuring that our leadership teams are organized, informed, and compliant with our mission and statutory duties.

Primary goal

Your primary goal is to provide seamless administrative support to the Board Chairs in both the US and UK, managing the flow of information and maintaining the official records of the Pride Wide movement.

Team context

You will work directly with the Board Chairs and coordinate with the Executive team (CEO and COO) to align board-level governance with the broader organizational calendar and operational priorities.

Key responsibilitiesRole of the board administrator
Minute Taking & ActionsAssist the chairs with the agendas. Distribute materials prior to meetings.  Record accurate minutes for all US and UK board meetings, ensuring that key decisions are documented and action items are tracked for follow-up in the appropriate tracker. File all agendas, minutes and other items in the correct folders.
Governance RecordsMaintain a central, shared repository of all official board documents, including bylaws, meeting minutes, and regulatory filings.
Chair Support & LiaisonLiaise directly with the Board Chairs to manage their Pride Wide calendars and ensure they are prepared for all internal and external engagements.
Compliance CoordinationCoordinate with the executive team to ensure board activities and records align with the requirements of the Pride Wide Trust (UK) and Pride Wide Inc (US).

The Governance & Executive Support Team

This Governance and Executive Support role is part of the Skills & Capabilities team, a dedicated working group of high-impact volunteers focused on operationalising Pride Wide. Its purpose is to support the CEO, COO and Board Chairs with the fundamental operational capabilities that enable the organisation to scale its programming, expand its broadcast platforms globally, and secure a sustainable future for LGBTQIA+ advocacy. 

Commitment

  • Minimum time commitment: Approximately 5-10 hours per month.
  • Meetings:
    • Attendance at monthly Board meetings for both US and UK chapters.
    • Attendance at ad-hoc governance workshops to refine board processes.
    • All meetings are held virtually or hybrid, to facilitate attendance regardless of location.
  • Term: A minimum commitment of two years.

Support

  • The Board Administrator is supported by the Board Chairs, the Pride Wide Executive team, and the Skills and Capabilities team, who provide strategic guidance and operational context.
  • There is an option to co-own this role with another volunteer.

Person specification

Essential and desirable requirementsIdeal skills & experience
Commitment to LGBTQIA+ equalityA demonstrable commitment to LGBTQIA+ equality and Pride Wide’s mission is an essential requirement.
High-Level AdministrationExceptional organizational skills; experience in roles requiring senior-level support (e.g., Executive Assistant or Board Secretary).
Diplomatic CoordinationProven ability to coordinate across different leadership tiers and time zones to manage complex schedules.
Technical ProficiencyExpert-level comfort with shared digital tools, calendar management (Google Workspace), and virtual meeting platforms.
AmbassadorshipProven experience representing an organization to internal stakeholders; must maintain high levels of confidentiality.
